Hours: 8:00 am to 5:00 pm, Monday through Friday. Additional hours as needed.
Role: The Trust Assistant plays a vital role in supporting the Trust Officer in managing client accounts within the Trust Department. This position is responsible for delivering personal and professional service to clients, establishing and maintaining relationships across various trust accounts, including Personal Trust Accounts (Living and Testamentary), Agency Accounts (Custody and Investment Management), Estates, and Conservatorships. The Trust Assistant contributes to client satisfaction and retention by consistently providing high-quality customer service while ensuring compliance with the Bank's policies and procedures.
Essential Functions & Responsibilities:
Client & Account Management:
- Serve as a liaison between clients and Trust Officers, coordinating daily activities and client interactions.
- Coordinate the setup of new accounts, including: preparing new account folders; establishing tax cost basis for assets transferred to new trust/IM accounts; managing OBO/NOBO documentation, CIP, and income distribution documentation.
- Oversee and organize existing trusts, including: reviewing, approving, and responding to mail and bills for payment; maintaining medical health files, processing claims, and verifying payments; collecting, organizing, and tracking tax information for review by the Trust Officer.
- Coordinate and manage life needs for clients: maintain payroll records for caregivers, including processing checks and withholding tax information; oversee the sale or shipping of personal property, appraisals, and moves for trust clients.
- Assist the Trust Officer upon a client's death: prepare Date of Death and 6-month Alternate Date of Death Valuations; assist with tasks related to finalizing the client's estate.
Administrative Responsibilities:
- Maintain orderly and current files, retrieving and researching information as needed for the Trust Officer.
- Type dictation, reports, documents, and correspondence on a daily basis.
- Provide backup support for the front reception desk, assisting customers and answering phones.

Requirements
Education: High school diploma or equivalent.
Experience: One year of administrative experience.
Skills & Abilities: - Strong problem-solving abilities using computing skills.
- Ability to plan, organize, and prioritize work to meet deadlines efficiently.
- High attention to detail and ability to take initiative.
- Strong verbal and written communication skills, with advanced spelling, punctuation, and grammar proficiency.
Computer Skills: Required:
- Intermediate skills in 10-key, data entry, and typing.
- Proficiency in Microsoft Word and Excel.
Preferred:
- Ability to effectively utilize technology to complete tasks and optimize existing hardware and software.

While performing the duties of this job, the employee is regularly required to talk and hear. The employee is frequently required to sit for long periods of time. Some light physical effort required.
Travel: Travel is negligible. It is primarily local during the business day, although some local evening and weekend travel may be needed.
Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, copy machines, filing cabinets, and fax machines.
